Creating a Template

Scheduling and Conducting an Audit, Inspection, or Observation

This video explains the differences between inspections, audits, and observations, as well as their workflows. It shows how to schedule a future item (either one-time or recurring) and how to conduct an audit, inspection, or observation immediately. The video covers the entire process from start to finish.
What to know about recurring events
Audits and inspections often occur on a regular basis. For example, a plant can go through an EHS audit in the first week of December each year, housekeeping may conduct monthly inspections in each facility, or a joint health and safety committee may conduct quarterly fire protection inspections.
Setting up a recurring event
To meet regulatory and internal requirements, you can schedule recurring audits or inspections at set intervals (one day up to five years). The recurrence can be set to continue indefinitely, end after a defined number of recurrences, or end after a specified date. Once scheduled, the start date of the recurrence pattern is used to determine the start date of each event in the series.
Editing recurrence patterns
Once defined, a recurrence pattern can be edited, after which all subsequent audits or inspections will adhere to the new pattern. Audits and inspections that have already been created will not be affected by editing a recurrence pattern. You can end or “delete” a series of audits or inspections by updating the end date to be yesterday.
How they work
When creating a recurring audit or inspection, only the first event exists. Each subsequent event in a series is generated when any of the following occur:
- Close an audit/inspection. Example: When an audit is closed, the next audit in the series is automatically scheduled.
- Delete an audit/inspection. Example: If an inspection is deleted, the next inspection in the series is automatically scheduled.
- A “reminder” notification. Example: If a reminder is scheduled to be sent 30 days before a scheduled audit, an audit 30 days away, according to the recurrence pattern, is automatically scheduled.
- 30 days before the next audit/inspection. Example: An inspection that is 30 days away, according to the recurrence pattern, is automatically scheduled.
Setting end dates
Adding an End Date for a recurring audit or inspection is optional but recommended. An End Date can
- Limit the number of automatically generated My To-do records, particularly if the scheduled recurrence is Daily or Weekly.
- Prompt you to periodically review an audit/inspection recurrence to account for business needs like changes to applicable laws and regulations.
