Attaching a Document or Link

Attaching a document or link allows you to:

• • Provide additional documentation to support information outlined in a specific report
  • Provide easy access to information pertaining to a report on the internet or within our organization’s internal site
  • Ensure all relevant pieces of additional information are tied to the data source

Everyone with appropriate access who has been assigned responsibility for a task is encouraged to attach documents and links whenever they can to provide additional insight.

To attach a document or link:

1. 1. Select Attachments from the menu within a record.
   2. Select Choose a file… to browse for your file. A preview or icon of the file type displays.
   3. Add a description and the web address (URL) to attach links. Use the – icon to remove entries or the + icon to add entries.

Notes:

• • Approved file types are doc, docx, xls, xlsx, ppt, pptx, jpg, jpeg, pdf, png, gif, and heic. While video attachments are not supported, you can store a video file in a shared space, like SharePoint, and then add a weblink for it.
  • Maximum file size is 25MB.
  • When adding an attachment (photo, PDF, PowerPoint file, etc.) to an entity (incident, inspection, action item, etc.), the attachment becomes part of that record only. For example, if you’ve added photos to an Inspection for a negative finding, the photos are part of the Inspection record only, and they won’t be attached to any subsequent action items stemming from that negative finding.
