When you use the EHS V5 platform and send files through SFTP, you may notice that some users aren’t added or updated as you expected. This article will help you understand the CSV User Import Summary notification you may receive after sending files through SFTP.

SFTP is an additional service that must be purchased for the V5 EHS platform. If you want to add it to your current platform, contact Customer Support.
What You Need to Know About the Notification
When you upload a file through SFTP for processing in the EHS V5 platform, the system automatically sends an email notification. By default, this notification goes to the System Administrator. If no one in your organization receives this email, make sure someone is assigned to the System Administrator role under Admin > User Roles.
This email will be titled VelocityEHS Notification – CSV User Import Summary and has important information about the upload process. At the top of the email, you’ll see a summary of what happened during the upload, including the following information:
- When the upload started and finished
- Total number of users who were added
- Total number of existing users who were updated
- Total number of users who were deleted, deactivated, or ignored
- Total number of errors that prevented a user from being added or updated
If something went wrong, like a user not being added correctly, the body of the notification may include any errors or warnings that have occurred with the upload.
Difference Between Error and Warning
An error means something went wrong during the upload process, like when a user can’t be added because there’s already a user with the same information in the submitted CSV file.
A warning is like a heads-up. It tells you about a possible issue, but it doesn’t stop the user from being added or updated. For instance, let’s say in row 1, a user was added, but their location and supervisor fields were left blank. This happened because the platform couldn’t determine where they were assigned or who their supervisor is.
How to Manage Notifications
By default, these email notifications are sent to the person with the System Administrator role at the top level (Level 1) of your location tree. However, you can change this.
You have three options:
- Send notifications to a different user role (but only one role, and it can’t be a default role like Default Responsible for Investigation).
- Send notifications to a specific email address (one email address, and this can be an individual’s email or a group email if your organization has created and activated a distribution list).
- Turn off notifications completely for SFTP uploads.
