This article refers to downloading system data. For information about exporting or downloading report data, see Running Reports.
The Export Data option enables you to download information from Training & Learning to Microsoft Excel files so you can further analyze it or share it with another system.
Access the Export Data option from the Administration menu.
Select the data you want to download and select Export. Each data selection will generate its own Excel file. For example, if you select Users and Courses, you will get two separate files.
Users – Includes the following fields:

- Middle name
- Last name
- Username
- Department
- Manager
- Job Titles
- Locations
- Work Functions
- Groups
- Phone
- Onboard Date
- Time Zone
- Status (Active or Inactive)
Groups – Includes the following fields:

- Group name
- First name
- Last name
- Group type
- Description
- Whether or not the group has been archived
Courses – Includes the following fields:

- Course name
- Description
- Length (minutes)
- Vendor
- Regulatory requirements
- Subject
- Whether or not learners can self-enroll
- Whether or not enrollment requires manager approval
- Course version number
- Whether or not the course is archived
Classes – Each session will have its own line in the CSV file with the following fields:

- Class name
- Description
- Subject
- Session start and end date
- Session start and end time
- Time zone
- Class location
- Max class size
- Instructor
- Meeting URL
- Whether or not the class has been archived
Programs – Includes the following fields:

- Program name
- Description
- Vendor
- Regulatory requirements
- Subject
- Whether or not learners can self-enroll
- Whether or not enrollment requires manager approval
- Whether or not included courses must be completed in order
- Version number
- Whether or not the program is archived
- Courses included in the program
Transcripts – Transcripts can include up to six months’ worth of data. When you select Transcripts, you must enter a date range. The CSV file will then include the following fields for learners in your account for each course in which they were enrolled during the selected time frame:

- Content-type
- Content name
- Start date (sessions only)
- Completion date (sessions only)
- Status
- Due Date
- Number of attempts to complete
- Score
