Summary
After completing many new features over the last few releases, this smaller release focuses mainly on bug fixes and continuing with the main feature upgrade to allow multi company contractors.

Summary
This release focuses on continuing with the main feature upgrade to allow multi company contractors and includes some final changes to the lead time, gas monitoring and confined space features, and multi authorisation approval roles.
Highlights
Multi-Company Subcontractors
- Many customers hire contractors that work for multiple companies under their own email address. We’re working on enabling admins to assign contractors to multiple companies using their contracting email address. This is a complex, phased update due to the many areas where contractors are used across the system.
Multi-Authorization Approvers
Some customers allow approvers to be assigned to multiple approver roles on one permit which is controlled via configuration.
- Related enhancements and estimated release:
- When a multi-authorization approver is approving their permit, they can select which approval role they wish to approve – released
- When a multi-authorization approver is approving a permit as a backup for one approver, they can select which approval role they wish to approve – released
- When a multi-authorization approver is approving a permit as a backup for multiple approvers, they can select which approval role they wish to approve – released
- When a multi-authorization approver is approving on behalf of an approver who has only one role then the approver role will auto select to this role – released
- The new multi-authorization approver role will be translated to Dutch – released

Gas monitoring, Confined Space and Fire Watch
- This new feature was released last year, and we are working through feedback of interested customers and adding enhancements to increase adoption of this feature. The first addition is to allow submitter groups to be applied to qualified users which will restrict the submission of the data for these three areas to only those who are qualified to do so.
- New configurable breadcrumbs are added to control the submission of gas monitoring, confined space and fire watch data – released
- Only users with the relevant groups can submit gas monitoring, confined space and fire watch data onto a permit – released
- Users can submit confined space data within the date ranges of the permit – released
Other Changes
- Lead Time Update
- We have updated the lead time controls to ensure that when a lead time is set, that the calendar picker will grey this out without including any listed holidays. For example, if the configuration settings are lead time = 3 and a weekend and a bank holiday Monday are listed as holidays, when a user selects the start date on a Thursday, then the next available start date will be Wednesday.

Summary
This release provides customers with some much-requested functionality and continues to lay the groundwork for allowing contractors to be assigned to multiple companies.
Highlights
Multi-Company Subcontractors
- Extensive background development work is ongoing to set the stage for allowing sub-contractors to be assigned to multiple companies. Once complete we will start adding in the new screen updates to facilitate this functionality.
Multi-Authorization Approvers
Some customers allow approvers to be assigned to multiple approver roles on one permit which is controlled via configuration.
- Related enhancements and estimated release:
- When a multi-authorization approver is approving their permit, they can select which approval role they wish to approve – released in April
- When a multi-authorization approver is approving a permit as a backup for one approver, they can select which approval role they wish to approve – targeted Q2 release

Permit Enhancements
- Permit Lead Time
- Customers can now configure a permit lead time, meaning their permit creators can only select a start date outside of this configured permit lead time. The system can also be configured to ensure permit start dates cannot be selected on a provided list of company holidays including weekends and public holidays. This ensures that a permit is not started on the date that it is created, in line with safety regulations that many of our customers adhere to.
- Permit Printing
- Some customers are requesting the ability to print permits outside of the permit approved status. We have solved this by adding a configuration allowing us to specify what status a permit can be printed at, which includes all permit statuses. Once configured, a user can print a permit at the configured permit status.
- Gas monitoring, Confined Space and Fire Watch
- This new feature was released last year, and we are working through feedback from interested customers and adding enhancements to increase adoption of this feature. The first update is to allow submitter groups to be applied to qualified users which will restrict the submission of this data to only those who are qualified to do so.

Other Approval Enhancements
- Awaiting approval list
- In relation to the new configuration that was previously introduced; allowing customers to ensure their approvers will only see items in their awaiting approval bucket that they are assigned to, a further enhancement is being added so that in this setup approvers will see their permits in awaiting approval until the permit has been fully approved.
- Auto approval restriction
- When a customer is configured to not allow a permit to be self-approved, we have enhanced this to ensure that at handover the permit cannot be returned to the user who created the permit.
Language Updates
- All translatable language texts have been updated with the latest translations
- The new translations have also been updated on the permit calendar
Performance Improvements
- Some small code improvements were made to help speed up performance across the system.

Summary
This update enhances user experience based on customer feedback and lays essential groundwork for the highly requested multi-company subcontractor association feature.
Highlights
Multi-Company Subcontractors
We’ve begun implementing the ability to assign subcontractors to multiple companies—a frequently requested feature. Currently, our system limits contractors to a single company. This release includes backend data remodelling that will support this functionality, with user interface changes to follow in future releases.
User Experience Improvements
We’ve made several enhancements to show users exactly what they need to do their jobs:
- Added group-based permission controls for permit note attachments
- Set default location filters on Contractor Portal Submit Data to display users’ own site data on entry
- Enabled viewing of historical entries for Gas Monitoring, Confined Space, and Firewatch
- Introduced new admin configurations to ensure approvers only see relevant items requiring approval (user interface updates coming in the next release)
- Updated various translations

Summary
This update introduces several improvements to enhance user experience and address customer feedback. Key highlights include a redesigned Permit Timeline for better accessibility, updated language in the Document Archiving modal to clarify permanent actions, and changes to prevent workforce from being copied to attached sub-permits. Additionally, an issue preventing some users from accessing permits has been resolved.
Highlights
- The Permit Timeline page has been redesigned for improved accessibility and readability, with better color contrast, font adjustments, and layout changes. Background colors of timeline boxes were removed and replaced with a new element for color differentiation.
- New forms created and associated with a site will now appear in the “add compliance requirement” dropdown for companies servicing that site, ensuring better alignment between forms and site-specific requirements.
- The confirmation pop-up when archiving a document has been updated to better communicate that archiving is a permanent action.
- New logic has been implemented to prevent workforce from being copied to attached sub-permits. This can be configured to ensure that workforce data is not automatically inherited from a general permit to its associated sub-permit.
- Resolved an issue preventing contractors from viewing their own company permits, even when the correct settings were enabled. Contractors can now successfully see their own company permits.

Summary
This update introduces several new features, including Change Tracking for Gas Monitoring, Firewatch Monitoring, and the ability to view closed permits’ entries. It also adds support for filtering qualification reports, improves attachment handling when using permits as templates, and adds support for additional image file types. Several bugs have been resolved, including issues with duplicate entries in Gas Monitoring, incorrect display of workforce members, and visitor badge PDF cutoffs.
Highlights:
- Users can now view Change Tracking for Gas Monitoring and Firewatch Monitoring details, tracking changes, additions, and deletions in the data tables.
- The “Add Compliance Requirement” dropdown in Company Details no longer displays document types which are no longer associated (but were previously associated to) to sites the company can service.
- Users can now see attachments copy over when using a permit as a template, and they can remove attachments if needed.
- The Workforce Qualification Report and Company Qualification Report can now be filtered by qualification status, allowing Site Administrators to limit results to statuses like ‘Valid’, and ‘Expired’, or select multiple statuses.
- Gas Monitoring, Confined Space Entry, and Firewatch logs can now be viewed even after a permit is closed. While Gas Monitoring and Confined Space entries are view-only on a closed permit, Firewatch logs can still be edited and updated.
- The default calendar view for the Permit Calendar has been updated to “Week”, providing a more focused view on page load.
- Added validation for Gas Monitoring entries to prevent duplicate datetime entries.
- The “Visiting” field in the Visitors module is now sortable, improving record navigation.
- HEIC and HEIF file types are now supported for permit attachments, allowing users on iOS and Mac OS devices to upload these file types.

Summary:
This update introduces key improvements, including new configurations for sub-permits, the ability to set user defined expiry dates for Qualifications, and optional attachment copying when using permits as templates. It also prevents multiple approvals by the same user in permits with multiple approvers and updates translations and special character support in Visitor Administration. Several issues, including errors in General Permit submissions and Visitor badge printing have been resolved.
Highlights:
- Users can now choose how sub-permits are copied based on whether they can be standalone or not, and based on the setting “Sub-Permits Can be Used as a Template for Another Permit”
- Contractor Company requirements can now be configured such that the requirement expiry date is user defined; this ensures that the expiry date is not pre-populated and the date reflects the expiry date of the requirement itself
- Permits can now be optionally configured to allow Attachments to copy when the “Use This Permit as A Template for a New Permit” functionality is used
- When permits are configured to allow multiple approver authorizations, the same user is no longer able to approve multiple times and approve the permit
- Translations were added and updated in various parts of Control of Work
- Search now supports special character entry in Visitor Administration
- Resolved an issue where an error occurred after a user submitted a General Permit with a notification selection list (e.g. select users which should be notified)
- Resolved an issue where an error occurred when a user tries to print a Visitor badge

Summary:
This release includes several updates to improve user experience, such as excluding inactive users from approver management, enhancing scheduling conflict detection, and increasing attachment size limits. Additionally, new fields have been added to support compliance and site-specific requirements. It also resolves various issues as noted below.
Highlights:
- Scheduling Conflicts: Permits with “Rejected,” “Cancelled,” or “Closed” statuses will no longer be displayed in the “Identified Scheduling Conflicts” section.
- Compliance Requirements: When adding a company, only compliance requirements that apply to the contracting company and the sites it services will be shown.
- Document Types: A new “Applicable Sites” field has been added to Document Types to help manage site-specific requirements.
- Secondary Approvers: Inactive users will no longer appear in the “Modify Secondary Approvers” field.
- Sub Permit Creation: When creating a sub permit using the “Attach a Permit to this General Permit” option, secondary approvers will no longer be copied from the parent permit.
- Attachments on permit notes can now be up to 30MB in size.
- A visual issue that caused workforce and qualification information to be cut off on the “Manage Personnel” page has been fixed.

Summary:
The releases this month implement a number of improvements in reporting, usability, and more!
Highlights:
- Colored status icons were removed from all permit reports, permit pages, “Permits Closed Late”, “My Important Permits”, and “Permit Calendar” etc. to allow users to clearly identify the status of permits in the system
- Server caching was introduced to improve load time for viewing permits to close
- Permits will now be automatically moved to approved status if the last remaining approver is removed from the permit
- Improvements in Compliance Report resolve an issue causing a company to incorrectly show as compliant
- Improved access control for “Only (Allow Contractors to view) Own Company Permits” setting is used
- Using “Permit Options”, users can now close a suspended permit even if the date and time of work has already passed
- The “View My Submitted Permits” table now contains a “Status” column, so users can easily determine the current status of the permit
- The chart title for Permit Report has been updated to “Permits by Day”
- Resolved an issue in which safety requirements inherited their values from a previously deleted field

Summary:
This month’s release adds a helpful link to the support page for Control of Work on all module pages, allowing users and administrators quick access to get product support. Permit settings have also been improved, allowing improved configuration for your Permitting scenario. A number of character encoding issues in email notification have also been resolved.
Highlights:
- All module home pages such as Contractor Portal, Permit to Work, etc. now include a support link in the bottom right corner of the page.
- A new option is available on the Permit Basic Settings, allowing sub permits to be approved and printed before the parent permit is approved.
- A new option is available on the Permit Basic Settings called “Allow Multiple Approver Authorizations”. This allows the same user to approve and issue a permit in scenarios where these responsibilities are fulfilled by the same person.
- Permits can be configured to (allow or disallow) approval of attached sub-permits while parent permit is not approved
- Approved permits can no longer be cancelled, as the underlying work is already approved to start
- When ‘Use This Permit as a Template for a New Permit’ from the Permit Options section is used, secondary approvers are no longer copied to the new permit
- Various improvements to resolve encoding issues in email notifications

Summary:
This release included several optimizations and fixes for approval workflows and notifications in the COSHH module, as well as updates in SSO configuration and password reset functionality. Many bug fixes that were also implemented are listed below.
Highlights:
- Single Sign On (SSO) configuration now supports customers using Control of Work via a VPN.
Note: Customers may need to contact support as URLs must be added to an allowed list for this to work. - Resolved an issue in which users with the latest version of Chrome browser could not select dates in Contractor Portal
- Resolved an issue which caused the permit options in Permit to Work to be inaccessible via some mobile devices
- Resolved an issue in Course Manager causing course submissions to not appear in “Review Course Submission”

Summary:
The release includes usability improvements in Course Manager, resolution of a qualification visibility issue in Permit to Work, and new functionality in Contractor Portal to persist users’ Company List location filter selection. It also includes performance improvements in Reports, as well as various improvements and bug fixes noted below.
Highlights:
- The “filter by location” filter in the full Company List in Contractor Portal can now be configured to persist the user’s previous selection
- A new section for “Course Submissions (Pending Approval)” is now available in Course Manager to improve usability for course users
- Performance improvements were made to the Workforce Induction Report to allow quicker report generation
- Resolved issues causing “Not qualified” errors during Permit creation for a contractor with a qualification nearing expiry

Summary:
This month’s releases include new functionality to trigger a password setup email when a contractor user is logging into Control of Work for the first time using a non-SSO login. Additionally, users attempting to use an expired password reset link are routed to re-trigger a password reset email. Bug fixes were implemented as noted below.
Highlights:
- Users attempting to reset their password will now also see a URL to view a support article which may assist them with the process, or to contact the support team
- An issue was resolved which had caused the Workforce Qualification Report to generate a blank export file
- An issue was resolved which had caused the Workforce Induction Report to have data (the number of contractors) inconsistent with the Workforce Qualification report
- The “Workforce Qualification Report” no longer exports an empty file when a user only has access to one site
- A fix was made in Permit > Workforce to prevent workforce showing as “Not qualified” with an expired qualification even when they have valid qualification

Summary:
A new Modify secondary approvers is now available for customers with the feature enabled for the Permit to Work module. This allows secondary approvers to be defined for a permit after the permit has been submitted. In addition, the performance and efficiency of the “Close permit” functionality was improved.
The May 23rd release implemented a bug fix to resolve issues with the “Add a Note” functionality. An improvement was also made to restrict permit access to the correct users. Several other updates and customer bug fixes made to Contractor Portal, Permit, etc. were also completed.

- A new Modify secondary approvers is now available.
- Backup approvers can also now see the “Modify secondary approvers” option on a permit.

Summary:
This month’s release includes updates to the display of qualifications on permits so that inconsistencies based on several factors such as site settings, global qualification status, and permit-level overrides are removed. Updates were also made to ensure qualifications are only displayed in the one section in view permit information. Super Users can now make Site Locations active or inactive through the UI. Several other updates and customer bug fixes made to Contractor Portal, Permit, etc. are listed below.
Highlights:
- Qualifications are now shown as mandatory or non-mandatory based on mandatory setting at the site where the permit is created, permit specific setting, mandatory setting on a different site than current permit, and more
- Mandatory and non-mandatory qualifications report columns are no longer hidden when there is no data available; instead, a dash character will display in the respective table cell
- Background system improvements to ensure that translations populate for new sites when they are created by VelocityEHS
- A Filter by Location option is available on the Workforce Induction report, allowing users to filter the results by 1 or more site locations
- Permit handover requesters can now perform a handover for only a single approver, rather than multiple approvers

This month primarily focused on various system improvements including improvements in compliance reports and translation fixes.
Highlights:
- Qualifications set as “Inactive” are no longer incorrectly shown in the Compliance Report
- Unlinked compliance requirements are now displayed correctly under Compliance Requirement in the Compliance Report
- An issue causing Qualifications from showing in both mandatory and non-mandatory sections has been resolved
- Questionnaires in “Pending” state no longer have an incorrect date. Now, Questionnaires are given a date once in “Approved” state
- The “Internal Server Error” error caused by logging in after following a bookmark/direct URL has been resolved

Summary:
This month focused on various system improvements including permit QR codes.
Highlights:
- Permit to Work
- Applying QR codes to printed permits – connecting the paper permit to the permit on the system by simply scanning a QR code on a phone or tablet
- This will reduce the number of clicks and time it takes for a user to find a permit on the system, which should support a more efficient permit closure process, better user experience when adding notes or other permit activity and increase the emphasis on digitalization
- The user will be asked to login if they have not already done so, and it will bring them directly to that particular permit
- QR codes are automatically applied to the top left corner of HTML permits, while they require configuration and appropriate placement on PDF permits
- Applying QR codes to printed permits – connecting the paper permit to the permit on the system by simply scanning a QR code on a phone or tablet

- Primary Approvers will receive an in-app notification when a note is added to a permit via the ‘Add a Note’ feature
- Ensures that Primary Approvers are notified of any updates to a permit in a timely manner, without having to check individual permits

This month focused on enhancements to Workforce User records, along with system fixes and improvements.
Highlights:
- Enhancements to Workforce User records that are in both User Administration and Contractor Portal
- If Workforce data (such as first name, last name, etc) is updated in Contractor Portal, those changes will be reflected in User Administration ensuring consistency in User data across the system
- Any Workforce deactivated in Contractor Portal will be tracked in User Administration – User History with an owner of the action and a date and time stamp, ensuring that it is fully tracked and auditable
- If a Workforce is set to Active or Inactive in Contractor Portal, the system will process the same action in User Administration and also update User History for that user

This month’s focus was on updates to Contractor Portal, Permit to Work, and various system improvements.
Highlights:
- Contractor Portal
- Users can Bookmark Contractor Companies to create a refined list of companies that are relevant to them
- Particularly relevant to customers that have a large volume of contractor companies and an individual is only responsible for reviewing or managing a segment of those contractors. E.g. a member of the Facilities team only wants to see contractor companies that come on site to do work for Facilities
- Permit to Work
- Permit Workforce section of ‘View Full Permit Information’
- Improvements on how company and workforce qualifications are displayed
- Qualifications will be presented in a maximum of 4 columns – Company ‘Mandatory’ and ‘Non-Mandatory’ Requirements and Worker ‘Mandatory’ and ‘Non-Mandatory’ Qualifications
- NonMandatory Worker Qualifications being displayed is a new addition as this can be relevant if one or more workers are required to have a specific qualification but not all
- If a column is not relevant or populated it will not be displayed
- If a User exists in User Administration and as a workforce in Contractor Portal, any edits made to the User data (such as first name, last name, etc) will be synced
- Ensures the User’s information will remain consistent and any changes made, along with who carried out the action and a date/time stamp, will also be tracked in ‘User History’

Summary:
In addition to system improvements and fixes, this release has introduced the ability to capture Simple Signatures digitally during Permit Pre-Approval and Permit Closure.
Highlights:
- Signatures
- Signatures are tracked and auditable on the system, accompanied with the users printed name and a date and time stamp
- Allowing users to sign on the system removes the need to print the permit, the printed version needing to be signed and later uploaded to the system for tracking and future audits
- Customers will no longer have to store the printed version for the duration of their data retention policy, therefore, increasing the reliance on the system for this stored information
- Allows for the customers current workflow on determining who can Pre-Approve or close a permit, while the signature pad is applied to this step

Highlights:

- Permit Handover
- Once a permit is approved, the Primary Approver can have ultimate responsibility for that permit throughout its duration
- Permit Handover functionality allows for the handover of this role after the permit has been approved
- A permit may need to be handed over as part of shift handover or if the Approver needs to leave site or move on to another job, etc.
- The transaction is tracked and ensures there is a log for auditing purposes, and it ensures that the incoming Approver has accepted the permit, the role, and the risk

- When configuring permits the Permit Create section can have a lot of sections that can require significant scrolling to navigate

- Company Administrators can receive email notifications to advise that Company Qualifications / Compliance Requirements are due to expire
- Ensures that Company Administrators have sufficient notice to keep all company qualifications valid and in date, demonstrating compliance and allowing their workers to be selected as workforce on a permit
- A duration to notify before expiry can be set between 1 and 30 days and applied to all sites for your company; if you wish to activate this feature, please contact Support

- Tracks and displays more information on user changes in the ‘View History’ section in User Administration
- Displays any changes or updates from and to for first name, last name, type of user and other user activity.
- Display who carried out the changes, along with a date and time stamp.
- Increases the audit trail and visibility on user activity as updates made in User Administration are also reflected on permits.

- Instructs the user to close/cancel/reject any associated Sub Permits prior to closing the General, resulting in an improved permit closed rate on site

- Course Renewal Notifications can be enabled/disabled by the Support desk
- Requests to have course renewal email notifications issued to workers X days before expiry can now be activated by the Support desk
